A useful follow up helps a homeowner make a decision or clarify the next step. It should not pressure someone with an invented deadline, pretend a crew is available when it is not, or keep messaging after they have asked you to stop.
These are writing examples, not messages from real customers or a sequence proven to produce a particular booking rate. Replace the bracketed details and check the facts before using one.
Confirm the estimate arrived
Use this when you have sent an estimate and want to make sure it reached the correct person.
Hi [Customer], this is [Name] with [Company]. I sent the estimate for your [project] on [date]. Did it reach you? I am happy to explain the preparation, installation scope, or items excluded.
For email, use a clear subject such as “Your [project] tile estimate.” Keep the original estimate attached or linked through the delivery method you agreed to use.
Do not put a customer's private project details into a public review response or a shared marketing document. Use the contact channel they provided for the project, respect contact preferences, and obtain appropriate permission for automated or marketing messages.
Ask about an unanswered decision
If receipt is confirmed but you do not know the next step, ask a question the customer can answer without writing a long explanation.
Hi [Customer], are you still considering the [project] estimate, or has the timing changed? If there is a question about the scope or a detail you need before deciding, let me know.
Record the answer rather than immediately sending another generic reminder. A customer waiting on tile delivery needs a different response from someone comparing what two bids include.
Agree a sensible next contact date where appropriate. There is no universal number of messages that makes every tile estimate successful.
Clarify a comparison without attacking another installer
Price questions may reflect a difference in preparation, demolition, materials, exclusions, or another trade's responsibilities.
Thanks for the update. If it helps, we can review exactly what our estimate includes and excludes so you can compare the scopes. Is there a particular item you would like me to explain?
Do not criticize a competing quote you have not reviewed or promise a lower price before checking your costs. If the scope changes, document the change and update the estimate through your normal approval process.
Use genuine project photos to explain your work when relevant, not as a substitute for a written scope.
Respond to a delayed project
A delay is not automatically a rejection. Ask whether the customer wants further contact and avoid implying a reserved date that was never agreed.
Understood. Would you like me to check back around [agreed time], or would you prefer to contact us when you are ready? We will confirm current availability and any estimate changes before scheduling.
If the original estimate has a genuine validity period, explain it accurately. Do not invent an expiring discount or claim the last opening is disappearing to force a decision.
Close the loop politely
Use this when repeated contact is no longer useful and the customer has not asked you to continue.
Hi [Customer], I will close this estimate in our follow up list for now. If you would like to revisit the [project], you are welcome to contact us. We will review the scope, pricing, and availability at that time.
Closing a record internally is not the same as canceling a signed contract, refunding a deposit, or releasing an agreed booking. Handle those matters according to the actual agreement and appropriate professional advice.
Keep a record of what happens
Track receipt, questions, timing changes, decisions, and booked work. Keep open, declined, delayed, and unresponsive estimates distinct.
The qualified lead guide explains why an inquiry and an estimate are different stages. The calculator can help review a completed group of inquiries without counting old jobs against new spending.
If few suitable visitors ever contact you, review the website contact path too. Better follow up cannot recover a form that never delivered an inquiry.
Questions about estimate follow up
Can I copy these messages exactly?
Adapt them to your actual conversation, permissions, scope, and schedule. Never leave a placeholder in a customer message or claim a commitment that does not exist.
Should I automate every reminder?
Only if the contact permissions, delivery rules, record keeping, and stop requests are handled correctly. This guide does not set up an automated messaging service.
Does your marketing package include sales management?
Do not assume so. The pricing page explains the marketing program. Review additional software, automation, or sales responsibilities separately in writing. Request an audit to review where inquiries may be getting lost.
